Description

Under the supervision of the Medical Records Supervisor, the HIM Representative Level I will process medical records, maintain and organize medical records files and greet patients and visitors that come to the Reception Desk.

Duties & Responsibilities:

  • Answer telephone, respond to patient & third party inquiries regarding forms, medical records requests
  • Promote a positive experience when interacting with patients and other customers
  • Greet and appropriately direct patient and visitors that come to the Reception Desk for Medical Records, Administration, Case Management, SCO Program, Ryan White Program, Advocates, and Behavioral Health
  • Follow up with medical providers via email, phone and fax regarding form completion
  • Sort faxes and mail
  • Process Medical Records following established protocols
  • Scan/Index signed documents into Electronic Medical Record (EMR) system
  • Pull/file Radiology jackets
  • Review Medical Record files to ensure correctness and completeness
  • Perform other related duties as assigned by supervisor
  • Schedule: 9a-5p Monday - Friday 35hrs/week with a possibility of working up to 40 hours/week as needed). 100% on site. Post pandemic, there may be a need for some slight flexibility, such as until 6 pm 2 evenings a week.

Qualifications

Minimum Basic Knowledge:

Basic computer skills including Microsoft Excel

Bilingual in Spanish or Cape Verdean Creole is highly desired.

Experience & Qualifications:

High School diploma or equivalent

Prior Reception / medical records and health care experience preferred

Must possess excellent customer service, organizational, time management, and attention to detail

Physical Requirements:

constant 90-100% - Collating/Filing, Fingering, Grasping, Judgment, Reading, Repetitive motions, Sitting, Writing

Independent Action:

Follows own work plan using established procedures and refers unusual occurrences or problems to supervisor or clarification
