I. Major Responsibilities:
1. Creates, maintains, updates, and publishes schedules for Physicians and Advanced Practice Providers (APPs) which includes dozens of roles and over one hundred providers across multiple campuses. Continuously remodels schedule to accommodate division expansion and development of new roles.
2. Collaborates with Division leaders at various sites to coordinate schedules that ensure continuity of care for patients and promote provider well-being.
3. Creates and maintains a database of types of shifts (weekends, triage shifts, back up shifts, holidays etc.) per full-time equivalent (FTE) by provider to ensure scheduling is equitable throughout the division and adherent to current scheduling rules.
4. Tracks and projects data based on anticipated changes in volume, RVU’s, hours. Reports on metrics not meeting benchmarks. Builds Excel formula-driven spreadsheets for adjustments to RVU’s, volume, seniority levels, and back-up assignments.
5. Creates and maintains a variety of detailed reports to be utilized for compensation plans, physician bonuses, and other key metrics within assigned areas. Tracks Division and individual provider quality/performance.
6. Works with scheduling software vendor to maintain, analyze and update program rules and specifications to obtain the most efficient and error free schedule.
7. Maintains, updates, and publishes scheduling guidelines for the Physicians and APPs and provides guidance on the use of the scheduling software.
8. Regularly surveys Physicians and APPs regarding scheduling preferences and incorporates into the schedule.
9. Addresses questions and concerns from Physicians and APPs via phone, email, or personal meeting regarding hours tracking, day-off requests, moonlighting, RVU productivity, etc.
10. Creates and gathers monthly evaluations on Physicians and APPs through survey tools (e.g. Survey Monkey) to ensure adequate supervision of APPs in accordance with Massachusetts general law as well as collaborative working relationships.
11. May be responsible for coordinating the credentialing process with Medical Staff Office.
12. Coordinates new Physician onboarding to include computer access, Epic training, administrative orientation, obtaining badges and white coats, and ensuring adequate clinical shadowing time at each campus. Assigns/resets scheduling software passwords.
13. Ensures accurate recording and timekeeping for clinical and school payroll systems. Calculates and processes supplemental compensation payments for physicians, physicians, moonlighters, affiliate practitioners and fellows. May perform other administrative tasks related to payroll processing.
14. Tracks shifts to ensure adherent with scheduling practices. Ensures shifts, per diem coverage, and paid time off are accurately entered into time and attendance system.
15. Manipulates large amounts of complex data within various Excel spreadsheets and utilizes complex Excel formulas/functions to manage this data.
16. Prepares, reviews and summarizes data and metrics to include charts, tables and graphic representations as needed.
17. Reviews and recommends improvements in systems and procedures.
18. May maintain the Divisional and School websites.
19. May assist with setup and management of audio/visual equipment for conferences and recording and posting online as needed.
20. Participates in projects as needed.

1. Advanced skills in Excel (including complex formulas and pivot tables) and proficiency in MS Office applications.
2. Excellent interpersonal, analytical, and organizational skills.
3. Ability to interact with multiple levels of hospital management and foster working relationships.
4. Ability to work independently, take initiative, analyze and solve problems.
Preferred:
1. Experience in the manipulation and review of large volumes of data.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
