Job Summary

The Development Coordinator, Prospect & Data Management will play an integral role in helping McLean Hospital meet its annual fundraising goals by participating in projects and performing responsibilities related to database management and prospect research. The Development Coordinator will work closely with the Associate Director, Prospect Management to provide efficient and accurate prospect and fundraising data. The development coordinator will also collaborate with other members of the department on special projects as they arise and will be encouraged to attend hospital-wide educational lectures to enhance his/her understanding of the field of mental health and the impact of the hospital’s and the department’s work.

This position is a hybrid position with remote and in-office work days.

Principal Duties and Responsibilities

The development coordinator will have a wide range of responsibilities, including the following:

Database Management (70-75%)
• Become expert in the use of the database (Blackbaud CRM) including querying, exporting and reporting
• Participate in all aspects of the list production process and produce email, mailing, and prospecting lists for the Development Office on a scheduled basis and as needed.
• Work closely with the Associate Director, Prospect Management to import prospect data, and manage creation of new records as requested by gift officers and others.
• Collaborate with the major gifts team; enter research requests and program feedback regarding potential prospects.
• Ensure accuracy and integrity of constituent database by conducting data maintenance activities, including regular review of integrity reports, identifying and eliminating duplicate records, processing data updates related to returned mail, reconciling obituaries with donor records, conducting data entry and correction, etc.
• Capture various data, such as general correspondence, survey results, and testimonials.

Prospect Research (25-30%)
• Conduct primary prospect research to identify and qualify potential donors to the hospital. Disseminate and document research results, including following standard processes to capture prospect research in the database.
• Respond to internal prospect research inquiries and present information in a variety of written formats including bios, reports, summaries, and profiles.
• Use software applications, such as WealthPoint, LexisNexus and Relationship Science, to accurately extract, assess, and aggregate data that captures prospect engagement and wealth capacity.
• Work closely with the Associate Director, Prospect Management to expand the fundraising pipeline through data analysis and mining.
• Stay current on best practices and hospital procedures as they apply to research and development. Use extreme discretion when working with confidential information, following HIPAA’s privacy laws and APRA’s Statement of Ethics.
• Serve as a member of the Mass General Brigham Prospect Research Council.


Other tasks as assigned: Including documenting processes, proofreading stewardship and communications materials and participating in special events and campaign activities as needed.


Qualifications

  • Two or more years of work experience, preferably in development or a related field. Experience may be volunteer or community-based.
  • Bachelor’s degree or equivalent experience required.

  • Ability to interact positively with a wide range of constituencies in person, via Zoom/Teams, telephone, on email and in writing
  • Familiarity with Blackbaud CRM (or similar relational database); fluent in Microsoft Word, Excel and PowerPoint
  • Ability to work as part of a small, highly efficient team in a fast-paced and challenging atmosphere
  • Basic computer skills to use a variety of electronic or online systems for communication, clinical and administrative purposes.
