The Digital Pathology Coordinator will provide logistical and administrative support for the Department of Pathology’s Digital Pathology whole slide scanning enterprise. The digital pathology coordinator is responsible for scanning and entering metadata for histology slides selected for consultation, teaching/research, tumor board, clinical conferences, and archival imaging. The position is well-suited for a detail-oriented candidate who wants to work directly with patient data and play an essential role in delivering patient care.

Job Description:

Essential Responsibilities:

1. Plans, coordinates, and makes recommendations in preparation for high-profile digital pathology scanner operations for department

2. Streamline operations and workflow of the digital pathology department

3. Using a team approach, coordinate activities with multiple stake holders (attending physicians/scientists, residents, and lab/administrative staff)

4. Compiles, analyzes, and summarizes data from multiples sources to create detailed complex documents, reports, and high-level presentations

5. Completes department-specific responsibilities which are documented at a local level

6. Helps with expansion/advancement of digital pathology in the department – liaises with vendors, schedules meetings and demo/trial sessions.

7. Keeping track of various components of digital pathology implementation project and updating shared documents (such as to-do lists).

8. Tracking of image export requests

9. Prepare metadata for slides scanned

10. Scanning slides: Collate slides from multiple areas of the department for slide scanning in a timely manner:

a. Perform pre-analytic review of slides for scanning (clean slides, examine tissue placement of slide, and quality of barcode)

b. Load and unload slides into scanner using batch management schemes

c. Perform QA (review slide image quality and barcode label identifiers to ensure integrity of interface to Image Management System is readable and navigable)

d. Rescan failures

e. Review operation ID functions (date/time stamps, audit trails)

f. Organize slides for return to appropriate designated area of the department/stakeholders

11. Maintain organized spreadsheets and tables for tracking workflow

12. Organized Image Management System according to established methods/design

13. Problem-solve mechanical issues and maintain equipment (liaison between vendor maintenance/customer service)

14. Monitor storage/purge archived files

Required Qualifications:
1. Associate’s Degree
2. A minimum of one year of work experience in administrative, healthcare or science based field
3. Experience with computer systems required, including web based applications, which may include Outlook, Word and Excel.

Oral Communications: Ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families and external customers.

Knowledge: Ability to demonstrate in-depth knowledge of concepts, practices and policies with the ability to use them in complex varied situations.

Team Work: Ability to act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows. Results may impact the operations of one or more departments.

Customer Service: Ability to demonstrate a positive attitude and respond to requests in a timely and respectful manner.


Physical Nature of the Job:
Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects. Sitting most of the time, with walking and standing required only occasionally.
